Napster Learn has a built-in user management system that lets admins invite users, assign roles, manage permissions, and track access across the organisation.
Accessing User Management
Sign in to learn.napster.ai as an admin. In the left sidebar, go to User Management, which contains three sections: Active Users, Pending Invitations, and Roles & Permissions.
Inviting users
- Click Add new user (top left of the admin panel) or go to User Management → Active Users.
- Enter the user's email address and select their base role.
- Click Send Invite. The user receives an email invitation and appears in Pending Invitations until they accept.
Bulk import via CSV
To add multiple users at once, click Import CSV from the Users page. Format your CSV with one user per row (email, name, role) and upload. All imported users receive invitation emails automatically.
Base roles

Custom roles
In addition to the 3 system roles, admins can create custom roles with specific permission combinations. Go to User Management → Roles & Permissions → Add Role to define a new role.
Assigning roles
From the Active Users table, click + Assign Role next to any user to add a custom role on top of their base role. A user can have one base role and one or more custom roles simultaneously.
Pending Invitations
Users who have been invited but have not yet accepted appear in the Pending Invitations tab. You can resend or cancel an invitation from this view.
Organisation Settings
Go to Admin Controls → Organization Settings to manage your organisation's name, type (Enterprise, Higher Ed), and other account-level settings. Super admins can view and manage all organisations in a multi-tenant deployment.
Audit Logs
All system actions are logged in Admin Controls → Audit Logs. Logs can be filtered by date range (last 7, 14, 30, or 90 days, or all time) and by action type, and exported as CSV for compliance or review purposes.
